Privacy Policy
Last updated: November 5, 2026
1. Introduction
This Privacy Policy explains how Dame Enterprises, LLC (doing business as Cheer Team) (“Cheer Team,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you use our mobile applications, websites, and related services (the “Service”). Cheer Team is a team-management platform for cheer programs that helps coaches manage rosters, communicate with athletes and parents, schedule events, collect dues, and share team content. The Service includes the Cheer Team apps for iPhone, iPad, and Android, our website at cheerteam.app, and the coach web portal at cheerteam.app/console.
By using the Service, you agree to the collection and use of information in accordance with this Policy. If you do not agree, please do not use the Service.
2. Who This Policy Applies To
This Policy applies to all users of the Service, including:
- Coaches and program administrators who create and manage cheer programs in the app or the web portal;
- Parents and legal guardians who join a program to follow their athletes, communicate with coaches, and pay charges;
- Athletes who are members of a program. Athletes 18 and older may have their own accounts. Athletes ages 13 to 17 may have an account only by accepting an invite that their parent or guardian has approved in the app. Children under 13 never have their own accounts; their information is entered and managed by a parent, guardian, or coach, as described in Section 8.
3. Information We Collect
We collect information in three ways: (a) information you provide directly, (b) information we collect automatically, and (c) information from third parties.
3.1. Information You Provide
- Account and profile information. Your name, email address, and role (coach, parent, or athlete), plus anything you choose to add: a profile photo, phone number, bio, and nickname. Coaches may also add certifications, awards, and seasons coached. A head coach may add the program's motto.
- Sign-in information. If you sign in with Apple or Google, we receive your name and email address from that provider. We never see your Apple or Google password. See Section 6 for Google Calendar and YouTube access.
- Roster information. Coaches (and parents, for their own family) enter information about athletes and parents. For athletes this can include first and last name, nickname, pronouns, grade, age group, team, position, jersey number, photo, bio, fun facts, awards, and certifications. For parents and guardians it includes name, email address, and phone number. Coaches also record attendance and seasons on the team. Coaches can import a roster from a spreadsheet, Word document, or PDF and add matching photos.
- Messages and team content. Channel messages, replies, direct messages, reactions, GIFs, photos, and announcements, plus music, training and performance videos, and files you upload for your program.
- Schedule information. Events you create (title, location, date, time, notes), RSVPs, and attendance. If a coach links a calendar, events from that calendar are synced into the program's schedule (see Section 6).
- Payment information. When a charge is created or paid, we keep what it was for, the amount, who it is for, who paid, when, how it was paid (by card, or recorded by a coach as cash or check), and any refund or waiver. Card numbers are entered into Stripe's payment form and never reach our servers. See Section 5.2.
- Safety reports and blocks. If you report something, we keep your report, a short excerpt of the reported item, who and what it concerns, and any note you add. If you block someone or hide reported content, we keep that list on your account.
- Join requests. If you ask to join a program through program search, your name, email address, and optional note are sent to that program's coaches.
- Support requests. Information you provide when you contact us for help.
3.2. Information Collected Automatically
- Device and push information. Your device's push notification token, app version, and basic device and operating system details.
- Crash reports. If the app crashes, Firebase Crashlytics sends us a crash report (device model, operating system version, app version, and the technical error).
- Server logs. Our servers log requests (for example, the time, account ID, and action requested) so we can run and secure the Service.
- Website. Our website does not use advertising or analytics cookies. The coach portal keeps you signed in using your browser's storage.
We do not collect your device's location, and we do not use analytics or advertising trackers.
3.3. Information from Third Parties
- Identity providers (Apple, Google). Your name and email address as provided when you sign in.
- Stripe. Payment status, receipts, and refund events, so we can show up-to-date paid/unpaid status to the right people. For coaches who connect Stripe, we also see the Stripe account's status, balance, and payouts. Stripe collects coaches' identity and bank details directly; we do not receive them, and Stripe never shares full card details with us.
- Calendars (Google Calendar, your device calendar). Only the calendars and events you choose to sync (see Section 6).
4. How We Use Information
We use the information we collect to:
- Operate, maintain, and improve the Service, including building new features and fixing bugs;
- Authenticate you and protect your account from unauthorized access;
- Make your information visible to the people in your program as described in Section 5.1;
- Process payments, including showing parents what they owe and showing coaches who has paid;
- Send service-related communications, including push notifications, emails, and in-app messages (for example, “A new charge has been issued” or “Your dues were received”);
- Respond to your questions, support requests, and safety reports;
- Detect, investigate, and prevent fraudulent activity, abuse, and violations of our Terms of Service;
- Comply with legal obligations, respond to lawful requests from law enforcement, and enforce our agreements.
We do not send marketing messages. If we ever do, we will ask first, and you will be able to opt out at any time.
5. How We Share Information
We do not sell personal information to third parties. We share information only as described below.
5.1. Within Your Program
Information you provide is shared with other members of your program as follows:
- Everyone in your program can see the roster (names, photos, teams, grades, positions, and which parents are linked to which athletes), member profiles (athletes can limit who sees their bio and certifications), the schedule, announcements, the channels they belong to, and team music, videos, and files;
- A parent's phone number is shown on their profile to members of the program;
- Direct messages are visible to the people in the conversation. When a coach and an athlete message each other directly, the athlete's linked parents or guardians are automatically copied and can read the conversation;
- Billing: coaches see every charge and payment in the program; parents see the charges for their own athletes;
- Coaches see join requests for their program.
5.2. Service Providers
We share information with service providers who help us operate the Service. They process information only to provide their services to us. Our service providers are:
- Google Firebase / Google Cloud (sign-in, database, file storage, server functions, push notifications, and crash reports through Crashlytics). See firebase.google.com/support/privacy.
- Google Cloud Vision (automatic screening of uploaded photos for explicit or violent content).
- Stripe (card payments and payouts to programs). Card details go directly to Stripe and are processed under its own privacy policy at stripe.com/privacy. Stripe may email the payer a receipt.
- Anthropic (Claude). When a coach imports a roster from a PDF or Word document, the document is sent to Anthropic's Claude to read out athlete names, grades, and parent contact details for the coach to review. We delete our copy of the uploaded document right after. See anthropic.com/legal/privacy.
- Resend (email, for example safety-report alerts and roster templates a coach asks for).
- GIPHY (GIF search in chat). Your search terms are sent to GIPHY, and results are limited to G-rated GIFs. See giphy.com/privacy.
- Google (YouTube Data API), for coaches who choose to upload videos to YouTube (see Section 6).
- Google Fonts. The app downloads its typeface from Google, which receives your IP address.
- Vercel (website and coach portal hosting) and Cloudflare (domain and email routing).
- Apple and Google (Sign in with Apple, Google Sign-In, and push notification delivery). Information you share with Apple or Google is governed by their respective privacy policies.
5.3. Legal and Safety
We may disclose information when we believe in good faith that disclosure is necessary to:
- Comply with a law, subpoena, court order, or other legal process;
- Enforce our Terms of Service or other agreements;
- Protect the rights, property, or safety of Cheer Team, our users, or the public, including investigation of fraud, abuse, or threats to minors.
5.4. Business Transfers
If Cheer Team is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction. We will notify you (e.g., by email and a prominent in-app notice) before your information is transferred and becomes subject to a different privacy policy.
5.5. With Your Consent
We may share information for other purposes if you give us specific consent.
6. Google Calendar and YouTube
- Google Calendar. When you sign in with Google, the app may ask for access to your Google Calendar. We use this access only if a coach connects a calendar to sync with the program's schedule: we add the program's events to that calendar and bring that calendar's events into the program's schedule, where program members can see them. We do not read other calendars. You can also sync with your device's calendar; that happens on your device.
- YouTube. Coaches can choose to upload large team videos to their own YouTube channel. Cheer Team only uploads; it does not read, change, or delete anything else on the channel. Videos are uploaded as Unlisted: anyone with the link can watch them, but they don't appear in YouTube search. We store the video's link so your team can watch it in the app, and we do not store your Google sign-in tokens on our servers. By uploading, you agree to the YouTube Terms of Service, and the Google Privacy Policy applies.
- Removing access. You can remove Cheer Team's access to your Google account at any time at myaccount.google.com/connections.
- Limited Use. Cheer Team's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, we do not sell it, and we do not allow people to read it except as needed for security, to comply with the law, or with your permission.
7. Program Search
Coaches can choose to list their program in program search. Parents with Cheer Team accounts can then find it and ask to join. A listed program shows its name, school, city, sport, logo, colors, and number of teams. Rosters, schedules, and messages are never shown in search. When you send a join request, the program's coaches see your name, email address, and note, and decide whether to approve it.
8. Children's Privacy
Cheer Team is designed for adults to coordinate youth cheer programs. We take children's privacy seriously and our practices are designed to comply with the U.S. Children's Online Privacy Protection Act (COPPA), the EU General Data Protection Regulation as applied to children (GDPR-K), and the UK Age Appropriate Design Code, where applicable.
8.1. Who Can Have an Account
- Adults (18 and older) can create accounts as coaches, parents, or athletes.
- Athletes ages 13 to 17 can have an account only by accepting an athlete invite that their parent or guardian has approved in the app. They cannot create programs, use program search, or join as a coach or parent.
- Children under 13 never have their own Cheer Team accounts. Every new account answers an age question, and children under 13 are turned away. If we learn that we have collected personal information directly from a child under 13, we will delete it promptly.
8.2. How Children's Information Is Collected
A child athlete's information (such as name, grade, team, photo, and profile details) is entered by their parent, legal guardian, or coach, and may come from a roster file a coach imports. When a coach enters information about a minor athlete, the coach represents to us that they have the right to do so (for example, the parent has consented as part of the program's registration process). Parents may review, correct, or request deletion of their child's information at any time by contacting their coach or privacy@cheerteam.app.
8.3. Special Protections for Minors
- We do not show advertising in the Service;
- We do not use children's information for marketing or to build behavioral profiles;
- Linked parents are automatically copied on direct messages between a coach and their athlete;
- Uploaded photos are automatically screened, and images flagged as explicit or violent are removed;
- Anyone can report a message, reply, direct message, or announcement, or block another member, and Cheer Team reviews reports within 24 hours.
9. Your Rights and Choices
9.1. Access, Correction, and Deletion
You have the right to:
- Access the personal information we hold about you. Most of this information is visible to you in the app; you can request a complete export by emailing privacy@cheerteam.app.
- Correct inaccurate information. You can update your own profile in the app. Coaches can correct roster information they manage, and parents can edit their own athletes' profiles.
- Delete your account. In the app, go to Settings → Delete my account (in the Legal section), or see cheerteam.app/delete-account. What is deleted, what is kept, and when is described in Section 11.
9.2. Notifications and Email
You can turn push notifications off completely, or choose which kinds you receive, in Settings → Notifications. We send email only when it's needed to provide the Service (for example, account verification, password resets, or a roster template you asked for). We do not send marketing email.
9.3. Reporting and Blocking
You can report a message, reply, direct message, or announcement, or use Settings → Report a problem. Reports are sent to the Cheer Team support team by email and reviewed within 24 hours, and the reported item is hidden for you right away. You can block another member (coaches can be reported but not blocked): you won't see their messages, and they can't send you notifications. You can unblock people in Settings → Blocked users.
9.4. California Residents (CCPA / CPRA)
If you are a California resident, you have the right to know what personal information we have collected about you, to delete it, to correct it, and to limit our use of sensitive personal information. You also have the right not to receive discriminatory treatment for exercising these rights. We do not sell or share personal information for cross-context behavioral advertising. To exercise your rights, email privacy@cheerteam.app.
9.5. European Economic Area, UK, and Switzerland (GDPR)
If you are in the EEA, UK, or Switzerland, you have the rights to access, rectification, erasure, restriction, portability, and objection under the GDPR. The legal bases on which we process your information are: performance of a contract (operating the Service), legitimate interests (improving the Service, security, fraud prevention), legal obligations (tax, recordkeeping), and consent (where you have provided it). To exercise your rights, email privacy@cheerteam.app. You may also lodge a complaint with your local data protection authority.
10. International Data Transfers
Cheer Team is operated from the United States. If you are located outside the United States, the information you provide will be transferred to and processed in the United States, where data protection laws may differ from those of your country. By using the Service, you consent to this transfer.
11. Data Retention
We retain personal information for as long as your account is active and as needed to operate the Service. When you delete your account (Settings → Delete my account in the app, My profile → Delete my account in the coach web portal, or by emailing support@cheerteam.app), it is permanently deleted 7 days later. To cancel within those 7 days, sign back in and choose Keep my account, or email support@cheerteam.app. A program's head coach must first make another coach the head coach before deleting their account.
After 7 days, we delete:
- Your sign-in and your account record, including your block list and hidden items;
- Your memberships in every program;
- Your coach or parent profile (name, photo, bio, phone, email, certifications, and awards) and your profile photos.
If you are an athlete with your own account, the coach's roster entry for you stays with the program, but it is unlinked from your account and your photo, bio, nickname, pronouns, and fun facts are cleared. Deleting a parent's account does not delete their athlete's roster record; ask the coach or email privacy@cheerteam.app to remove it.
We keep:
- Payment records. We retain transaction records (without sensitive payment details) for at least seven (7) years to comply with U.S. tax and accounting requirements, with the link to your account removed. Stripe retains payment data independently per its own obligations.
- Team posts. Messages and files you posted to a team stay with the team, still showing the name they were posted under. Email privacy@cheerteam.app to have them removed and we will do so within 30 days.
- Safety reports. We keep reports as long as needed to keep the community safe.
- Legal holds. We retain information when required by law, a court order, or to investigate suspected fraud or abuse.
- Aggregate and de-identified data. We may retain de-identified or aggregate data that no longer identifies you indefinitely.
12. Security
We use industry-standard administrative, technical, and physical safeguards to protect your information. These include encryption of data in transit and at rest, and access controls designed to limit what each member can see. No system is perfectly secure, however, and we cannot guarantee absolute security. If we become aware of a security breach affecting your personal information, we will notify you as required by applicable law.
13. Third-Party Links and Services
The Service may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies.
14. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email (if you have given us an email address) and through a prominent notice in the Service before the changes take effect. The “Last updated” date at the top of this Policy indicates when it was last revised.
